Practical Information for Invited Speakers at ECP 2024

Thank you for agreeing to give a talk/case presentation during the ECP 2024 in Florence. On this page you will find practical information regarding preparation of your presentation and handout as well as information on delivering your talk on-site.

  • The format for presentations is 16:9.
  • Since the congress will be conducted as a hybrid meeting, please make sure to use a decent size font (ideally 18+) in order to ensure legibility on all screen sizes.
  • Legibility check: On presentation mode, your text should be large enough to be easily legible 1.5 m away from your computer screen.
  • Avoid creating symbols as graphics or using special fonts that are external to your Microsoft PowerPoint or word processing programme since these might be displayed incorrectly. Instead, always use the ‘Symbol’ function in the ‘Insert’ menu of your programme to insert symbols.
  • Please use only standard fonts such as Arial, Times New Roman, etc.. If you are using your own fonts please remember to include them completely (File - Options - Save – Fonts embed - embed all characters). Presentations with embedded fonts can no longer be edited on-site!
  • Please make sure you have embedded all logos, images, tables, etc. in your presentation and have not just linked them. All images, logos, films, etc. must be stored in the same directory as the presentation itself. In older PowerPoint versions you can do this via: “File -> Pack for CD -> Copy to folder “or for PPT 2007/2010 via: Publish -> Pack for CD -> Copy to folder. (We recommend to test your presentation on another PC.)
  • Colours: Use light-coloured fonts for texts on dark backgrounds or vice versa. A strong contrast is important for good legibility.
  • Microsoft PowerPoint versions up to Microsoft 365 can be used. The following presentation formats cannot be handled or uploaded: Prezi, Apple Keynote. Please be aware that presentations made on Macs generally do not run properly on PC. Please visit the Speakers’ Preview Room to check for incompatibilities.

Important: ESP asks you to prepare one slide with three learning objectives at the very beginning of your presentation.

 

Also at the beginning, you need to declare potential conflicts of interest (as you know from previous live ECPs). A template can be accessed via the "DOWNLOADS" section (see below).

You will be invited to upload your presentation online prior to the congress. An invitation will be sent via our supplier ESTENSIS at the beginning of August.

If you are not able to upload your presentation online prior to the congress, please come to the Speakers’ Preview Room the day before or at least three hours prior to your lecture.
 

The Speakers’ Preview Room is located on Spadolini Lower Floor at Spadolini Pavilion.
 

Technicians will store your PowerPoint presentation (preferably from MS Win 10 compatible USB memory sticks as well as USB hard drives) on the central congress server.
 

At the Speakers’ Preview Room, you can check and rehearse your PowerPoint presentation.

  • Your PowerPoint presentation will be made available in your lecture room via a computer network.
  • There will be no possibility to connect your personal notebook in the lecture room.
  • Your presentation will be made available on the notebook by a technician.
  • From the lectern you will be able to remote control your PowerPoint presentation.
  • There will be NO Presenter / Speaker View, which includes speaker notes. (Only the full-screen slide show will be projected to the notebook as well as to the screen.)
  • A presenter (remote control) will be available.
  • No changes in your presentation can be made in the lecture room. Changes can only be made in the Speakers’ Preview Room.
  • Please make sure to not only welcome the audience in the room but also online.
  • VIDEOMICROSCOPY Sessions only: There will be a microscope in the lecture room to display your glass slides
    During your presentation you can switch between live microscopy images and PPT slides easily.

Further to the above, you are invited to submit a handout of your talk by latest 31 August 2024.

 

Please prepare a description of max. 1,000 words (including references). 
Allowed file format is pdf. A template is available via the "DOWNLOADS" section below.

 

All handouts will be used for educational purposes and will be included in the Education Portal of the ESP. 
They will also be published in the online programme on the congress website.

You are invited to upload a profile picture via your congress account. The picture will be shown next to your lecture in the online programme of the congress.

  • file size: max. 2 MB
